This guide explains everything SPSV.IO does, in plain language. If you would rather not read it, skip to the next section - we will set your account up with you over the phone.
If you would rather not work through the setup on your own, we will do it with you over the phone. There is no charge for this, and it takes about twenty minutes.
We will:
After that, the only thing you need to do is enter your income and expenses as they happen. That is the whole job. We will have done the rest.
Or email hello@spsv.io with a phone number and a good time to call. We speak English and Bangla.
SPSV.IO is a record-keeping tool for licensed SPSV drivers in Ireland. You record what you take in and what you spend, and at the end of the tax year it produces a clean summary to give to your accountant.
It replaces the shoebox of receipts and the notebook on the passenger seat.
What it does not do: it does not calculate your tax, file returns, or tell you what you may claim. It keeps accurate records so that your accountant can do those things properly. For anything about your tax position, speak to a qualified accountant.
One account covers all of them. Anything you enter on one appears on the others within seconds.
You will need an email address you can open there and then, because we send a code to it.
We ask for four things, not a form full of them. Your address, Eircode, PPS number and mobile are not needed to start recording - you can add them later, and you only need them before you produce a statement for your accountant.
Go to More › My account › Edit profile in the app, or Account on the web. Everything there is optional, but your address and Eircode appear on your annual statement, so it is worth filling in before you produce one. The app reminds you if you have not.
Your email address is your username. If you forget your password, choose Forgot password - a code is emailed to you and you choose a new one. It all happens inside the app; you are never sent off to a browser.
This is what you will do most days, so it is built to be quick. A typical entry takes about five seconds.
On the phone: tap the amber + in the middle of the bar at the bottom.
On the web: click Add entry, or press the A key from anywhere.
Then:
2350 gives 23.50. Typing 800 gives 8.00. You never need to reach for the point. (If you would rather type it yourself, turn off Auto-decimal amounts in Settings.)Notes and Item / description are both switched off by default, to keep the form short. If you want either, turn it on in Settings.
Turning one off later never deletes what you have already written - it just stops showing the box.
Open the Ledger and tap the entry. Change whatever needs changing and save, or use Delete entry. There is no limit on editing, and no penalty for correcting something a week later.
The app starts you off with the categories most Irish drivers need.
Income: Free Now (app, card, cash), Uber, Bolt (app, card, cash), Street Cash, Street Cards (SumUp), Street Revolut.
Expenses: Fuel, Insurance, Plate Rent, Taxi Rent, NCT, SGS, Road Tax, Car Wash, Tolls, Airport Parking, Repairs, Service, Parts, Mobile Bill, Tea or Coffee, Driving Licence, Meter/Branding, PPE, Accounts fee, Stationery/Postage, and Others.
You can add your own, rename them, change their colour or icon, and set a commission percentage where a platform takes a cut. Go to More › Manage categories.
Deleting a category that already has entries against it hides it from the forms rather than removing it, so your history stays intact and your old statements still add up.
The Ledger lists your entries for one period at a time.
The M / W button in the top bar switches between a month at a time and a week at a time.
Weekly suits drivers who think in shifts and want to see how a particular week went. Monthly suits anyone reconciling against a bank statement.
The setting follows you between devices - switch it on your phone and the web is in the same view.
The dashboard shows where you stand right now: your net figure for the period, how it compares to the same period last year, and a cash flow chart across the year.
Everything on it can be switched off in Settings if you would rather a simpler screen. There is also a Reset settings to default option if you change things around and want to start again.
This is the document you hand to your accountant, and the reason for keeping the records in the first place.
Go to Reports, choose the year, and select Annual statement (PDF).
It shows:
On the phone you can save it to your device or email it to yourself. On the web it opens in a new tab, and you can print it or save it as a PDF.
If your address is missing, the app tells you before you produce one. A statement with no address on it is less use to an accountant.
Your entries are stored on our server, so losing or changing your phone does not lose your records. But it is worth keeping your own copy as well.
Go to My account:
A backup is a single .json file. When it arrives by email it is inside a zip, so unzip it first.
Restoring replaces everything currently in your account with what is in the file. If you have added entries since the backup was made, those will be replaced too. Take a fresh copy first if you are unsure.
My account › Danger zone › Reset all my data removes every entry and category and restores the standard ones. Your profile and password are kept.
It asks for your password and then a code sent to your email, because it cannot be undone from inside the app.
If you do it by mistake, you are not stuck. Immediately afterwards we email you a complete backup of everything as it was before the reset. Restore that file and you are back where you were. Keep the email.
The mobile apps keep working without a connection - in a car park, a basement, or out where coverage is poor.
Entries you add offline are saved on the phone and sent automatically when you are back online. You do not have to do anything or remember to reopen the app; it happens on its own within a few seconds of reconnecting.
My account › Two-factor authentication adds a second step at sign-in using an authenticator app on your phone. We recommend turning it on - your records are financial data, and a password on its own is one thing to lose.
You are given recovery codes when you set it up. Store them somewhere other than the phone running the authenticator.
The padlock in the top bar puts the app into view-only mode. You can look at your figures but not change anything until you enter your password.
Useful when handing your phone to someone, or simply to guard against mistaken taps.
We email you whenever your password is changed or reset. If one of those arrives and it was not you, someone else has access to your account. Change your password immediately and check Settings › Activity log, which lists every sign-in and significant change on your account.
We will never email you asking for your password.
SPSV.IO is in English by default, on the web and in both apps.
Bangla is available on request. Email hello@spsv.io and we will turn it on for your account - it then works everywhere you sign in, on the web and on the phone. When Bangla is selected, numbers display in Bangla digits too.
The Bijoy keyboard layout is supported for typing category names in Bangla, so you can name your own categories the way you would say them.
In the apps, no. On the web, yes.
Your records are on the server, not the phone. Sign in on a new phone or in a browser and everything is there.
Yes. Sign in on as many as you like - they all show the same data.
No. It records what you enter and totals it up. Your accountant does the rest.
Nothing at all. Add it whenever you remember and set the date to when it actually happened. The entry files itself into the right week and month.
On a server in Germany, within the European Economic Area, under the account you created. Nobody else can see it. See our Privacy Policy.
My account › Download my data, at any time. It is yours.
There is a six-month free trial with no card details required. After that it is €5 a month or €50 a year, VAT included. See our Cancellation Policy.
Get in touch through the contact form or email hello@spsv.io. SPSV.IO is made by one developer in Dublin, and feedback from drivers has shaped most of what is in it.
And if you would rather we simply set the whole thing up with you over the phone, that offer stands.
